1. Introduction
Systenica is the strategic business system used to support Lumetis client engagements and related business services. This Privacy Policy explains how information is collected, used, stored, and shared when you visit the Systenica website, use the platform, or connect an approved third-party service.
By using Systenica, you acknowledge the practices described in this policy. Your use of a connected third-party service is also governed by that provider's own terms and privacy practices.
2. Information We Collect
Depending on how you use Systenica, we may collect:
- Account details such as your name, email address, and organization.
- Information you submit through forms, messages, projects, or support requests.
- Workspace content and records created or uploaded by authorized users.
- Technical information such as browser type, device information, and security logs.
- Data from third-party services that you explicitly authorize Systenica to access.
3. Account and Authentication Information
Systenica may use your email address and basic profile information to create or secure your account, authenticate access, associate you with an organization, and communicate about the services you use.
4. Google User Data
When you authorize a Google service, Systenica accesses only the Google account data required to provide the feature you selected. Depending on the integration, this may include basic profile information used for authentication and business information needed to provide authorized Google Business Profile functionality.
Systenica's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements where applicable.
Google user data is not sold, used for unrelated advertising, or accessed without your authorization. We do not use Google user data to build advertising profiles or for purposes unrelated to the feature you requested.
You may revoke Systenica's access through your Systenica connected-account settings or through the third-party access controls in your Google Account.
5. How We Use Information
We use information to:
- Provide, operate, secure, and improve Systenica.
- Deliver the Lumetis services and platform features you request.
- Authenticate users and manage organization access.
- Connect and operate integrations you authorize.
- Respond to support, legal, billing, and security matters.
- Prevent fraud, abuse, unauthorized access, and service disruption.
6. Third-Party Services
Systenica can connect with third-party services only when an authorized user initiates and approves the connection. These providers may process information under their own privacy policies. Disconnecting a service prevents future access through that connection but does not automatically delete data already imported into Systenica.
7. Data Sharing
We do not sell personal information. Information may be shared with service providers that help operate Systenica, with authorized members of your organization, when you direct us to share it, or when required to comply with law, protect rights, investigate abuse, or secure the platform.
8. Data Storage and Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, alteration, or disclosure. No method of transmission or storage can be guaranteed to be completely secure.
9. Data Retention
Information is retained only as long as reasonably necessary to provide the requested services, maintain security and business records, resolve disputes, meet legal obligations, and enforce agreements. Retention may vary by data type, account status, and the services provided.
10. Your Choices and Controls
You may update certain account information, disconnect integrations, revoke third-party authorization, or request access, correction, or deletion of eligible personal information. Organization administrators may control access to workspace data on behalf of their organization.
11. Revoking Connected Accounts
You can disconnect supported integrations from Systenica's Connected Accounts area. You can also revoke Google access from your Google Account's security and third-party access settings. Revocation stops future access but may not remove records previously created or imported at your direction.

Instructions for requesting deletion of your account, workspace data, connected-service data, or stored Google user data are available on the Data Deletion page.
13. Children's Privacy
Systenica is designed for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
14. Changes to This Policy
We may update this policy as Systenica changes. The updated version will be posted here with a revised effective date. Material changes may also be communicated through the platform or by email when appropriate.
